With Hartswood changing your management service can be achieved in two easy steps.

1) Contact Hartswood

Lack of communication; poor & overpriced property maintenance; high turnover of staff; there can be any number of reasons why Landlords are unhappy with their current agent. Things don’t have to be that way. Call or email us today to find out how we can help.

2) Give notice to your current agent.

After our initial consultation we will ask you to send us a copy of your agency Terms of Business so that we can prepare a notice letter on your behalf. You then simply sign the letter, forward it to your current agent and let us do the rest.

What happens next

We will obtain the contact details for your tenant from your current agent. We then liaise with the tenant directly regarding the changeover and letting them know that we will be taking over the management. We arrange for an initial inspection of the property to be carried out so that we can meet the tenant and familiarise ourselves with the property. We ensure the tenant knows who to contact in the event of any maintenance issues, and that they have the correct bank details to make rent payments. We often find that when an agent has not been delivering on service, the tenant is relieved the management is changing.

We then ask your current Agent to supply us with

Tenancy Documentation

Including the original tenancy agreement, any tenancy extensions, prescribed information, reference reports, deposit details, and check-in inventory.

Property Documents

Including relevant safety certificates and warranties. We will check that your property is fully compliant with all current legislation.

Keys

We will collect all sets of keys held by the previous agent on your behalf.

But All Letting Agents Are the Same, Aren’t They ?

Whilst it must be said that most letting agents appear to offer similar services, the way in which these services are carried out can vary greatly.

The main variables which can lead to the success or breakdown of the landlord-agent relationship, include:

1) Competence

The idea that ‘anyone can become a property agent’ is not far from the truth. At Hartswood we are proud to have attained several industry accreditations which help us ensure that our service is the best it can possibly be. We are members of ARLA Propertymark which means we meet higher industry standards than the law demands and strictly adhere to their regulations, ensuring that we only provide a first-class service and offer you the best possible advice. We are also members of The Property Ombudsman, TDS and backed by a Client Money Protection (CMP) scheme which guarantees your money is always protected.

2) Communication

Lack of communication is one of the most common complaints from landlords looking to change letting agents

At Hartswood we use cloud-based communications software so all communications are linked to the property and can be accessed by everyone in the team, meaning our landlords have one point of contact.

3) Transparency

Landlords trust letting agents to manage their most important assets, and so it is important that agents are completely transparent in everything that they do. At Hartswood, we believe in always being honest with our clients and working in their best interest, even if it means less profit for us.

So don’t waste time wondering if you could be getting a better service from your agent.
